NAUKA’s knowledge of electronic document management systems has been expanding since the distant 2006. Then one of our customers purchased the EMC Documentum system – a major American product, which is being developed and supported by some 60 000 people.
In ten-year time, we have created a modern multifunctional electronic document management system based on the American platform. Over the years, we have gained a deep understanding of large platforms for ECM and have gained enough expertise to continue productive work with customers. However, a new challenge arose from where we did not expect it – from abroad.
In 2014, sanctions were introduced against Russia, which resulted into a sharp rise of the dollar. The cost of further maintenance and licensing of the EMC Documentum system increased significantly.
For our customer, the question of how to optimize costs came to the fore. The answer was a complete replacement of ECM. This was when meetings with vendors that offered their boxed solutions started, promising to transfer the current solution based on EMC Documentum to their system in a week. NAUKA specialists participated in all such meetings as experts. Each time the customer voiced serious requirements in terms of the volume and quality of the transition to the vendors, the enthusiasm of vendors would fall dramatically.
These meetings helped the team come up with an idea – why don’t we create an electronic document management system? After all, we have the expertise both in ECM-platforms, and in creating a ECM on their basis. If we created such a product, we would cease to depend on licenses and restrictions, and the risks our customers are facing would be reduced, too. We were aware of the scope of the forthcoming work, and yet we decided to launch the project.
In the process of development, we sought to ensure that
- the new system is more powerful and modern than the analogous American product,
- the new ECM contains all the functionality developed for the customer in the past 10 year,
- all the existing data (documents, tasks, history of execution, content, processes, life cycles of documents, users, etc.) is transferred,
- the capabilities of ECM become even wider.
NAUKA pledged to implement this ambitious project in an ambitiously short term of two years. Just two years to create an entirely new system from scratch and transfer into it all the functionality developed for the old system in the past ten years! It was one of the most difficult and interesting segments of our professional activity. It was quite an achievement that on the day of the second anniversary of ECM NAUKA it was the only electronic document management system at the customer’s enterprise. Our team successfully managed to complete all those multiple tasks in two years.
We approached the creation of the system thoughtfully and used architectural solutions that would allow the system to be competitive for many years to come. Unlike the above-mentioned American system, our ECM:
- can be installed on 90% of modern DBMS,
- is deployed on the Unix and Windows servers,
- is based on free software.
ECM NAUKA 2.0
It would seem that one could rest on laurels at the result achieved: the company has successfully coped with the challenge posed by sanctions by having created a completely domestic ECM that was not inferior to its foreign counterpart, and in many ways surpassed it.
However, over these years NAUKA has accumulated such a wealth of knowledge and experience that we decided to form it in our own boxed solution. Relying on the best developments that have arisen when creating a SED by order, and embodying the new software and design ideas, we are preparing to release a fundamentally new system of ECM NAUKA 2.0.
The second version is distinguished by a new architecture that uses the modern technology Rest API. This architecture will ensure the operation of our product on any devices and any operating systems. At the same time, all business logic has been transferred to the Rest API server side, unloading the client application and thereby increasing its performance.
